Priority Personnel is currently seeking Administrative Assistants for a department located at Texas State University. 

Work Schedule: Mon-Fri/8am-5pm (starting off 20 hours per week)

Pay rate: $13/hour

Duties:

  • Assist students with registration and schedule changes when they have questions
  • Update/maintain all grades, which include grade changes, deletions, correspondence, extension, study abroad and testing center to student’s transcripts
  • Verify drops and withdrawals using reports
  • Assist with Special Registration when requested by supervisor or department head
  • Compose, type and proofread correspondence and forms
  • Maintain confidential files & student records – both paper and electronic
  • Scan and file documents into Banner Document Management System
  • Process academic records (transcripts) Check for holds; 
  • Processes registration adjustments
  • Verify student enrollment and prepares enrollment verifications
  • Open, date, and distribute incoming mail
  • Assist with service counter as needed
  • Assist faculty, staff, students and public with wide variety of issues, in person, by telephone and/or email.
  • Assists in the development and maintenance of internal procedure manuals.
  • Assist in coordinating student work duties and training
  • Assist with other duties as assigned by supervisor
  • Assist students with registration and schedule changes when they have questions

  • Update/maintain student Academic Standing
  • Update Suspension/Probation comments when needed due to grade change or new grade entry
  • Verify drops and withdrawals using reports
  • Assist with Special Registration when requested by supervisor or department head
  • Compose, type and proofread correspondence and forms
  • Maintain confidential files & student records – both paper and electronic
  • Scan and file documents into Banner Document Management System
  • Oversee document retention and destruction
  • Process academic records (transcripts) Check for holds; take requests in person and by fax, receipt payment and process transcript records
  • Processes registration adjustments
  • Verify student enrollment and prepares enrollment verifications
  • Open and close the office at set times
  • Monitor due dates/times of all daily tasks, assignments and projects and initiate action
  • Open, date, and distribute incoming mail
  • Communicate and collaborate effectively with other offices on campus, such as the Admissions Office, Financial Aid Office and Student Business Services Office
  • Assist with service counter as needed
  • Assist faculty, staff, students and public with wide variety of issues, in person, by telephone and/or email.
  • Assists in the development and maintenance of internal procedure manuals.

Required Qualifications:

  • Ability to communicate effectively in writing and verbally

  • Experience in answering multi-line phone and phone etiquette
  • Ability to operate a personal computer with Microsoft Windows and Office software, specifically Outlook and Excel
